Three Steps, One Season

Every serious AI rollout runs on the same three moves: find the expensive problem, give the software your context, then automate the biggest job first. A small park can run all three without hiring anyone.

Step 01

Find where the week actually goes

Spend one week writing down every interruption: the phone calls, the same guest questions, the rate changes you keep meaning to make, the double booking from an OTA. You are looking for the job you repeat most, not the job that annoys you most. Those are rarely the same thing.

Step 02

Write your park down in one place

AI is only as good as what it knows about you. Pull your rates, site types, pet and generator rules, check-in window, and seasonal dates out of your head and into your reservation system, which is the base. Then write down what lives outside it: the gate codes, the laundry room, the propane log, the spreadsheet only you open. Owners skip this step, and it is the one that decides whether the rest works.

Automate one job, then measure it

Turn on one thing. Answering guests after hours is usually the right first pick. Give it four weeks, count the calls you did not have to take, then pick the next job. One at a time beats a big rollout you cannot debug in the middle of peak season.

Pets, hookups, check-in time, rig length, cancellation, wifi. Asked by phone, email, and Facebook message, answered from memory every single time.

Someone finds you at 10 PM, has one question before they book, and reserves somewhere else by the time you read the message over coffee.

Chasing balances and deposits

Long-term rent, deposit reminders, and declined cards, tracked in a notebook or a spreadsheet only you know how to read.

What Goes Into Your Park's Brain

A large company builds this by pulling years of Slack, email, and CRM history into one place. A campground has six things, and you already know all of them by heart. The work is getting them out of your head.

Rates and rules

Nightly, weekly, and monthly rates. Deposit and cancellation terms. Pet fees, extra vehicle fees, and what counts as an extra person at your park.

Your site inventory

Which sites take a 40 foot rig, which have 50 amp, which are shaded, which stay soft until May. The detail you give over the phone but never wrote down.

The seasonal calendar

Open and close dates, holiday minimums, the county fair that fills you every August, and the week the pool is down for maintenance.

Guest history

Who came back, what they booked, what they added on. This is the difference between a generic answer and one that sounds like your park.

Local answers

Nearest dump station, the grocery run, the trailhead, the vet who takes walk-ins. Guests ask constantly, and right now only you can answer.

What AI is not allowed to do

Draw the line before you turn anything on. Quoting a published rate is fine. Approving a refund, moving a reservation, or promising a specific site stays with you.

Automate One Job, Then the Next

Pick the job with the most repetition and the least judgment. Run it for four weeks. Keep what earns its place.

Guest questions after hours are the cleanest first automation at a small park: high volume, low judgment, and the cost of missing one is a booking that goes to the park down the road.
